Privacy Policy

Operator: Players Cards (“we”, “us”, “our”)

Welcome to players.cards, a sports operating system and shared knowledge graph for athletes, teams, coaches, parents, fans, recruiters, officials, trainers, alumni, and organizers of camps and tournaments. The Services include living player cards and profiles; team hubs (rosters, chat, schedules, stats, practice plans, playbooks, whiteboards, evaluations, and attendance); registrations, payments, and invoices; camps and tournament operations (event pages, passes, officials, gate, leaderboards, and fan engagement); recruiting tools; AI insights and scouting features; and related mobile apps such as events and concessions. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have.

What to know up front
  • Most of the time, your sports organization (league, club, school, or association) decides what registration and roster information to collect and who can see it. We run the platform on their behalf.
  • If you created a team or organization yourself, you control how that team’s member data is managed on the platform.
  • We take children’s privacy seriously. Parents and guardians control child accounts and privacy settings. We do not use children’s or youth information to train AI models.
  • We do not sell your personal information for money.

1. Who this policy covers

This policy applies to users of our Services — including parents, guardians, youth, children through a parent or guardian, athletes, coaches, team managers, volunteers, fans, recruiters, officials, trainers, alumni, camp and tournament organizers, and other individuals whose information is provided to or stored in the platform; administrators of organizations that use the Services; and visitors to our websites and apps.

For most information about members and registrants, your organization—not us—decides how it is collected and used, and the organization may have its own privacy notice that also applies. This policy does not cover how your organization collects, uses, or shares information outside our Services, or third-party services we integrate with (such as payment processors), which have their own privacy policies.

2. Our role: who decides what happens with your information

Under privacy laws such as the GDPR and CCPA/CPRA, there is a distinction between the controller (who decides what to collect and why) and the processor / service provider (who handles information on the controller’s behalf).

For most information in the Services: your sports organization is the controller. They decide what to collect during registration, which programs you can join, who in the organization can see your information, and when accounts related to their programs should be closed. We are the processor / service provider: we host the platform and handle information according to our agreement with the organization.

In some cases we act as the controller—for example: information collected on our marketing sites; account credentials and security information you give us directly; usage data and analytics about how the platform performs (including de-identified or aggregated data); and product features we operate for our own purposes where our agreement with your organization permits it. This distinction affects who you contact to exercise your rights (see Section 11).

3. Age groups

Child: under 13. Requires verifiable parental consent. We follow the COPPA threshold of under 13 for child accounts in the United States.

Youth: 13 through 17. May hold an account; parents or guardians may have visibility through the organization or linked parent accounts.

Adult: 18 or older. Holds their own account and makes their own privacy decisions.

4. Information we collect
4.1 Information you or your organization provide

Depending on how you use the Services, this may include:

  • Identifiers such as name, email address, phone number, and account password — to create and secure your account and contact you about registrations and team activity.
  • Team and organization affiliation, roles (player, coach, parent, admin), and roster details.
  • Address and billing information — to process registrations, invoices, and payments.
  • Birthdate or age information — to place registrants in age divisions and enforce age-related rules where programs require it.
  • Photos and media, including profile photos and content used for virtual player cards.
  • Game and performance data such as player stats, scores, and related game information.
  • Messages and other content you post or send through team or organization features.
  • Payment information — processed by our PCI-compliant payment processor. We do not store full card numbers ourselves.
  • Emergency contacts and parent/guardian relationships — to enable parental management and reach someone on your behalf when needed.
4.2 Information we collect automatically

When you use the Services we may collect device information (device type, operating system, app version, language); log data (IP address, pages or features used, timestamps, error reports); approximate location derived from IP address; push notification device tokens; and cookies or similar technologies needed for login, preferences, security, and analytics.

4.3 Information from third parties

We may receive information from your organization when they enter or import your information into the platform; from payment processors confirming completed transactions; and from analytics or infrastructure providers that help us operate the Services.

5. How we use your information

We use personal information to:

  • Run the Services — create accounts; power player cards and profiles; run team hubs; process registrations, payments, and invoices; support camps and tournaments; enable recruiting, coaching, fan, and officials features; and deliver related apps.
  • Communicate with you — transactional emails, receipts, service announcements, and notifications you enable.
  • Provide AI features — insights, bias detection, scouting reports, recommendations, and related assistants (see Section 7).
  • Improve the platform — analyze feature performance, fix bugs, and develop new functionality.
  • Keep things secure — detect fraud, abuse, and security incidents; investigate violations of our terms.
  • Comply with the law — respond to legal requests, defend our rights, and meet legal obligations.
6. Who we share information with

We may share information with:

  • Your organization — administrators, registrars, coaches, and team managers with a role-based need to see relevant information. The organization controls who has access.
  • Other members of your organization — for example, roster or profile details visible to teammates and parents based on organization and privacy settings (see Section 8).
  • Service providers — hosting, analytics, email, and payment processors that process information on our behalf under contracts requiring them to protect it.
  • Legal and safety — when we have a good-faith belief disclosure is necessary to comply with law, protect users or the public, investigate fraud or security issues, or defend legal rights.
  • Business transfers — if we are acquired, merge, or sell substantially all assets, information may transfer as part of that transaction. We will provide notice as required.

What we don’t do: We do not sell personal information for money. We do not use children’s or youth information to train AI models. We do not knowingly share children’s personal information for targeted advertising.

7. AI features

We offer AI-driven insights, recommendations, bias detection, scouting reports, and related assistants across the Services. We may use prompts, outputs, and related usage data to provide the feature in the moment and to improve AI behavior after personal information has been removed or de-identified using commercially reasonable methods. We may also generate aggregate, anonymized analytics about how AI features are used.

We do not use children’s or youth information (under 18) to train or fine-tune AI models. We do not use AI to make automated decisions about you that have legal or similarly significant effects without human involvement where required by law.

AI can be wrong. Do not rely on AI outputs for medical, legal, financial, or safety decisions. Please do not enter sensitive information (government IDs, full financial account numbers, or detailed medical information) into AI features.

8. Children’s privacy

Parents and guardians have access to and control over privacy settings and data collection for their children. We may collect personal information such as names and images of athletes when provided by a parent, guardian, or organization.

Default visibility protections: last names are by default only visible to members of the same team. Photos are private by default and are shown as AI avatars to non-team members; parents may override this setting to always show actual images.

A child under 13 should only have an account if a parent or guardian creates it or provides consent through our parental-consent flow when an organization enters the child’s information. If a child’s information was entered without your consent, contact support@players.cards and we will work with you and the organization to address it.

As a parent or guardian you may review personal information collected about your child, request deletion, refuse further collection or use, or revoke consent. Revoking consent may limit the child’s ability to participate in programs that require an account. Email support@players.cards to exercise these rights.

9. Security

We use administrative, technical, and physical safeguards appropriate to the nature of the information, including encryption in transit, access controls, and vendor contractual protections. No method of transmission or storage is 100% secure. If we discover a breach affecting your personal information, we will notify you and applicable regulators as required by law.

10. How long we keep information

We retain personal information while we have a relationship with you or your organization, and afterward as needed to operate the Services, maintain team and transaction integrity, resolve disputes, and meet legal, tax, or accounting requirements. When an account is deleted, we apply the retention rules in the Account Deletion section below, including limited retention of sold virtual player card identity data and anonymized game statistics.

Data retention for virtual player cards: If you have sold your virtual player card, certain personal data (such as your name and image) may continue to be displayed to preserve the integrity of past transactions and fulfill contractual obligations with buyers. All other personal data will be permanently deleted where feasible. This limited retention is necessary to maintain the authenticity and value of the virtual trading card ecosystem and to protect the interests of card purchasers.

11. Your rights

Depending on where you live, you may have the right to access, correct, or delete personal information; withdraw consent; receive a portable copy of your information; and opt out of certain processing. California residents may have additional rights under the CCPA/CPRA, including the right to know, delete, correct, and non-discrimination for exercising rights. Residents of other jurisdictions may have similar rights under applicable law.

To submit a request, email support@players.cards. We will verify your identity as needed, acknowledge requests in a reasonable time, and respond within the period required by applicable law (typically within 30 days, or longer where an extension is permitted).

Because your organization controls much of the information in the Services, some access or deletion requests cannot be completed by us alone. When that happens, we will explain why, share organization contact information when available, and may pass your request to the organization if you ask us to.

You can also manage or delete your account using the options in the Account Deletion section below.

12. Third-party services

We may integrate with third-party services such as analytics platforms, payment processors, hosting providers, and social or messaging tools. Those services may collect and use data according to their own privacy policies. We encourage you to review them.

13. International transfers

We may store and process information in the United States and other countries where we or our service providers operate. Those locations may have privacy laws different from where you live. Where required, we use appropriate safeguards for cross-border transfers.

14. Changes to this privacy policy

We may update this Privacy Policy from time to time. We will post the updated policy with a new “Last updated” date. For material changes, we will provide additional notice (such as email or in-app notice) when required or appropriate. Minor clarifications may take effect when posted. Continued use of the Services after the effective date means you accept the updated policy.

Request Account Deletion

You have the right to request deletion of your account and personal data. We provide multiple ways to request account deletion:

  • Web ApplicationClick the 'Delete Account' button below to be redirected to your account settings where you can initiate the deletion process.
  • Mobile Applications (iOS/Android)Delete the mobile application and access the website to delete your account.
  • Email RequestSend an email to support@players.cards with the subject "Account Deletion Request"
Important: Data Retention During Account Deletion

When you delete your account, we follow a data retention policy based on your account activity:

  • If you have sold virtual player cards:Your name and image will be preserved to maintain card integrity for buyers. All other personal data will be deleted. You will be logged out and can create a new account anytime.
  • If you have game statistics:Your personal information will be anonymized (name changed to 'Deleted User') but statistical data will be preserved to maintain team records. You will be logged out and can create a new account anytime.
  • If you have no sold cards or stats:All your data will be permanently deleted within 30 days of your request.

Retention periods: Sold card data is retained indefinitely to preserve transaction integrity. Statistical data is retained indefinitely to maintain team records. All other data is deleted within 30 days.
